Article I Name of Organization
The
official name of this organization shall be the Susquehanna
University Ambassadors and shall be referred to within the bylaws of
this Constitution as S.U. Ambassadors.
Article II Mission Statement
We,
the Ambassadors of Susquehanna University, pledge to promote our
university to both alumni and prospective students. We will do this
through committing ourselves to supporting activities that maintain
alumni contact and foster recruitment efforts. In addition, we seek
to act as student leaders academically and within the whole of the
campus community. We recognize that membership in this group is an
honor, and we will work to cultivate character and integrity in our
new members.
Article III Membership/Organizational Structure
I.
Any part-time or full-time student in good standing with
Susquehanna University is eligible for membership in the S.U.
Ambassadors and its committees.
II.
Membership and participation in the S.U. Ambassadors shall
not be restricted based on race, religion, national or ethnic
origin, age, gender, disability, or sexual orientation.
III.
Members of S.U. Ambassadors include:
a.
The Executive Board
i.
President
ii.
Vice-President
iii.
Secretary
iv.
Treasurer
v.
Alumni Liaison
vi.
Admission Liaison
vii.
Mascot Manager
viii.
Webmaster
b.
The General Committee
i.
Comprised of any interested part-time or full-time students
attending Susquehanna University.
ii.
Must attend a minimum of three meetings per semester or sixty
percent of meetings per year.
iii.
Must participate in a minimum of two activities per semester.
Article IV Election of Officers
I.
Officer Qualifications
a.
Must maintain a GPA of 2.00 while in office.
b.
Must fulfill all respective responsibilities and duties listed in
Article V.
c.
Must contribute to all activities the S.U. Ambassadors participate
in.
i.
Absences of officer(s) will be discussed at next Executive
Board meeting and appropriate measures will be taken.
d.
Must attend 80% of meetings per year.
i.
Absences must be reported to the President, Vice-President,
or Secretary at least 24 hours in advance.
ii.
More absences than allowed could result in impeachment if the
Executive Board so sees it.
II.
Elections
a.
Elections shall be held the first full week of April.
b.
Any Executive Board or General Committee member in good standing may
vote.
c.
Officers serve a one year term, starting from the time of election
in April and ending in the following May.
d.
Newly elected officers will work with current officers between the
months of April and May for a training period to fully learn and
understand the duties of office.
e.
No individual may hold more than one position, with the exception of
liaisons and the Webmaster.
f.
In the event of a tie, there will be a re-vote between those
candidates who tied.
i.
In the event of another tie, the current President,
Vice-President, and Secretary shall vote on those candidates who
tied.
g.
Any voting disputes will be handled at the following Executive Board
meeting with both the new and old Executive Board members.
Article V Duties of Officers
I.
President
a.
Preside over and prepare agendas for all meetings of the
Executive Board and the General Committee.
b.
Perform any administrative, diplomatic, or professional
duties the office may require.
c.
Act in the best interests of the S.U. Ambassadors as seen by
the consensus of the S.U. Ambassadors.
d.
Supervise and oversee all events with the assistance of the
Vice-President.
e.
Schedule Executive Board and General Committee meetings.
f.
Notify members of the Executive Board of scheduled meetings
via e-mail.
g.
Serve as a representative to the Alumni
Board.
II.
Vice-President
a.
Shall preside over the meetings of both the Executive Board and the
General Committee in the absence of the President.
b.
Assist the President in any capacity needed including, but not
limited to, administrative, diplomatic, or professional duties.
c.
Maintain attendance records for all Executive Board and General
Committee meetings.
d.
Maintain all personnel records of the S.U. Ambassador members.
e.
Serve as a representative to the Alumni Board.
III.
Secretary
a.
Take minutes at all meetings.
b.
Type minutes from meetings and distribute to all Executive Board
members within four days either electronically or on paper.
i.
Minutes should be distributed to the Webmaster
electronically.
c.
Keep a record of General Committee members.
d.
Will temporarily fulfill the duties of the President and
Vice-President in the event both are absent from a meeting or
activity.
e.
If needed, will assist the President and Vice-President in any
capacity needed including, but not limited to, administrative,
diplomatic, or professional duties.
f.
Notify General Committee members of meetings via e-mail.
IV.
Treasurer
a.
Prepare the annual budget.
b.
Write budget proposal subject to approval by the Executive Board and
General Committee.
c.
Present budget to S.G.A. at annual budget hearings.
d.
Make reports at each S.U. Ambassador meeting on the group's
financial status.
V.
Alumni and Admission Liaisons
a.
Will work together with the S.U. Ambassadors and their respective
University office to ensure good communication and efficient
planning of joint events and activities.
VI.
Mascot Manager
a.
Obtain the mascot uniform and deliver it to the designated member of
the S.U. Ambassadors that is scheduled to use it.
b.
Accompany the mascot at all times at public events and activities.
c.
Know the whereabouts of the mascot uniform at all times.
d.
Make sure the mascot uniform is clean and presentable.
VII.
Webmaster
a.
Maintain the S.U. Ambassadors website.
b.
Post news, upcoming events and activities, and General Committee
meeting minutes.
c.
Receive e-mail directly from website and forward to the appropriate
Executive Board member.
d.
If possible, take pictures at public events and activities and post
them on the S.U. Ambassadors website.
Article VI - Resignation
Any
officer may relinquish his or her duties by submitting a letter of
resignation to the Executive Board. All letters should state reasons
for resignation and date effective.
Article VII - Impeachment
I.
The Executive Board may initiate impeachment proceedings with
a petition of at least three signatures from Executive Board members
and a valid cause for impeachment.
II.
The General Committee may initiate impeachment proceedings
with a petition of no less than ten signatures, and present it at an
Executive Board meeting.
III.
The following are causes of recall:
a.
Being unexcused for two or more executive meetings.
b.
Neglect of duties and responsibilities written herein.
c.
Unethical conduct.
d.
Action detrimental to the well being of the S.U. Ambassadors as a
whole.
IV.
The Executive Board may only move to impeach after verbal
and/or written warnings.
V.
A two-thirds majority vote must be reached for impeachment to
be achieved.
VI.
The decision will be announced and put into effect
immediately.
VII.
There are no appeals if impeachment was reached.
Article VIII - Vacancies
I.
All vacancies shall be filled by either a three-quarters
majority vote by the Executive Board, or a tradition vote of all
members of the S.U. Ambassadors.
II.
Duties and responsibilities of the vacant position shall be
administered by the President and/or Advisors until such a time that
the position has been filled.
III.
Term of office for a new officer begins immediately after the
election process and continues through the end of the normal term of
office.
IV.
All vacancies must be filled within one month of the
effective date of vacancy, circumstances permitting.
Article IX - Finance
I.
The Executive Board shall discuss and come to a decision on a
budget request to present the Student Government Association.
II.
The Treasurer shall present the budget for all accounts
linked to the S.U. Ambassadors.
III.
Approval to use funds from the S.U. Ambassadors accounts
shall be passed by a two-thirds Executive Board vote.
Article X - Meetings
I.
Executive Board meetings shall last at least half an hour and
occur before and/or after General Committee meetings.
II.
General Committee meetings shall last no longer than one
hour.
III.
General Committee meetings shall be scheduled by the
President or Vice-President in the absence of the President.
Article XI - Advisor
The
Advisor(s) to the S.U. Ambassadors shall be the Director of the
Alumni Office and/or a designated Admissions counselor.
Article XII - Amendments to the Constitution and Bylaws
I.
The President calls a special Executive Board meeting.
II.
Each member of the Executive Board must receive, in writing,
a copy of the proposed changes.
III.
The President must receive all proposed changes at least one
week in advance of the special Executive Board meeting.
IV.
Discussion for and against proposed changes is permitted by
any of the Executive Board members.
V.
A three-quarters majority vote by the members of the
Executive Board is required for an amendment to the bylaws of this
Constitution.
VI.
Any member of the Executive Board or General Committee may
petition changes to this Constitution and vote on those changes.
a.
If a member of the General Committee petitions for a change, it must
be sponsored by at least one Executive Board member.
