Scheduling Policies

Before signing any contract or confirming a location
with your group or the public, it is imperative that
you FIRST CHECK THE PREFERRED DATE AND LOCATION with
the University Scheduler, Scott Hollenbach, at 372-4225.
This step avoids scheduling conflicts. All facility
requests are to be submitted to the Scheduler in the
Campus Center Office located on the main level of the
Degenstein Campus Center. Requests are to be made by
completing a Susquehanna University Date and Space Reservation
Form (available from the Campus Center Office). Requests
made by phone must be followed with a reservation form.
We are unable to guarantee requests made by phone only.
Reservation forms must be filled out completely to ensure
proper arrangements. Written requests must be submitted
five (5) working days prior to the event, but requests
should be submitted as early as possible to ensure the
availability of facilities. All facility reservations
can be submitted to the Campus Center Office up to one
full academic year in advance.

To verify a reservation after a reservation form has
been submitted to the University Scheduler, two copies
of a computerized facility reservation confirmation
form will be sent to the person responsible for the
event. This person must sign and return one copy of
the confirmation form to the Campus Center Office. Any
corrections or changes in the event should be reported
promptly to the University Scheduler

Any food or beverage request for an event on campus
is requested directly through ARAMARK Food Services,
at 372-4228. Food requests need to also be noted on
the reservation form for set-up requirements. Contact
with ARAMARK Food Services should occur after a facility
reservation form has been submitted to the University
Scheduler.

Campus facilities are scheduled on a chronological FIRST-COME,
FIRST-SERVE BASIS. However, should an emergency arise,
every effort will be made to provide a suitable alternative
location for an event. If a compromise resolution is
not possible, the Campus Center Director will make a
decision as to which group is given the requested location.
University departments and organizations receive first
preference in scheduling and reservation of facilities.
Exceptions are made only with the approval of the President
or the two Vice-Presidents acting in concert. Appeals
of such decisions are made to the Vice-Presidents whose
decision is final. During major campus event days and
public weekends (eg., Homecoming, Alumni, Admissions
Open Houses, and Parents Weekend) campus facilities
are reserved by the University official in charge of
the event. The University Scheduler must receive permission
from the official in charge of the major campus event
to release a facility for use for any other function,
should a need arise.

Certain University facilities (ie., Houts Gymnasium,
Blough-Weis Library, President's Dining Room) also involve
approval for usage from specific departments. The University
Scheduler seeks approval of these areas on behalf of
the requestor after an initial Date and Space Reservation
Form has been submitted to the University Scheduler.
Audio/visual requirements for an event occurring in
any facility except the Campus Center should be requested
through the Media Center located in the Blough-Weis
Library by the person responsible for the event. Rental
fees for University facilities are established by the
University Treasurer and related offices. Fees are charged
by the University Scheduler during the academic year
and by the Office of Conference and Event Management for summer
usage of facilities.

The University attempts to use its facilities to further
the mission and goals of the University as expressed in
its planning statements. Thus, the University reserves
the right to decline the use of its facilities, either
by University or external groups, for events and purposes
which are counter to the goals of the University community.
The Campus Center Director exercises discretion in the
scheduling of events and may consult the Vice-Presidents
in making such decisions.
