Submitting Hours


The Process

Once you have started working, you will need to complete and submit your timesheet on WebSU every two weeks. This is done by following the procedure described below:

1. Go to WebSU and click on the "Log In" tab.

2. Type your Network Username and password and click the submit button. You are now logged into WebSU.

3. On the right hand side of the WebSU menu, you will see a link for employees.

4. Click on the employees link. This in the main employee menu. From this screen you can access your timesheet from the Time Entry Link and supervisors can approve timesheets from the Time Approval Link.

5. When you enter the Time Entry screen, your position(s) will be listed. Note that the position title is coded to help you identify the correct position.

  • The first letter indicates the type of position, whether it is Federal Work-Study (W), Cash (C), Summer (S) or Winter (W).
  • The next four letters are the department code, (Ex. DVLP = Development)
  • The remainder of the coding for your position falls to the second line on this screen and is a brief description of your job title. Check the box to access the timesheet for the position. Then click the submit button.

6. Check the box to access the timesheet for the position. Then click the submit button.

7. The Time Entry screen will open.

  • Record your actual hours worked in the Hours Worked column on the appropriate day(s). Please round to the nearest .25 hour worked.
  • If you wish to save your timesheet to add more hours at a later time, click Submit. Clicking the SUBMIT button alone DOES NOT submit your timesheet for approval. You can access this timesheet as many times as needed before the submission deadline.
  • When you are ready to submit your timesheet for approval by your supervisor, click the small electronic signature box BEFORE clicking Submit.

8. When you exit out of your timesheet, you will see a confirmation screen. If you have not checked the electric signature box to send the timesheet to your supervisor, this page will indicate that you have not marked your time as complete. Note that the status is marked "Not Complete."

Deadlines

  • The deadline for submitting your timesheet to your supervisor is 9 a.m. on the Tuesday following the pay period end date. However, you are encouraged to submit your timesheet for approval as soon as you have completed your last shift of work in the pay period.
  • After you submit your timesheet, your supervisor will receive an e-mail informing him/her that you have submitted your timesheet for approval.
  • Your supervisor has until noon the Tuesday following the pay period end date to approve or reject your timesheet.
  • You will receive an e-mail when your supervisor approves, rejects or changes your timesheet. Payroll will not process your timesheet without your supervisor’s approval.

Time History

  • You can view previous timesheets by clicking on the Time History link.
  • You will be able to see the date and time you submitted your timesheet for approval. After your supervisor approves or rejects your timesheet, you can see the date and time of his/her decision.
  • To exit the screen, simply click the submit button, log out or return to the Employee Menu. If you need assistance in completing your initial timesheet record, please contact the Human resources/payroll office or the Timesheet Administrator.

Things to Remember

  • Keep track of your hours. A written record is strongly recommended!
  • Round to the nearest .25 hour.
  • Electronically submit the timesheet to your supervisor for his/her approval in a timely manner. Your supervisor must approve your submitted timesheet by Tuesday at noon. If necessary, you may also want to remind your supervisor to review your timesheets if you find they are not yet approved.
  • It is your responsibility to remember to submit your timesheet. If you miss the deadline, you will not receive payment on the scheduled pay date.
