Policy Summary

The Susquehanna University ID card is an essential tool for students, faculty, staff and authorized affiliates. It serves as official identification, provides access to events and campus facilities, and enables various university services. This policy outlines the proper use, responsibilities, and procedures related to the ID card. 

This policy applies to all registered students, current employees, including faculty-in-residence, and authorized affiliates of Susquehanna University. 

  • New students receive their ID cards during orientation. 
  • Faculty and staff should arrange to obtain their ID cards from the Campus Safety Office on their first day of employment, but no later than the end of their first week of employment. 
  • The initial ID card is issued at no cost. 

Temporary or guest ID cards may be issued by Campus Safety to authorized contractors, visitors, or conference attendees. 

ID Card Policy

The ID card must be carried at all times on campus and presented upon request by university officials. It is nontransferable and may only be used by the person to whom it is issued. 

University employees and students may be required to show their ID cards upon request from a member of the Campus Safety or other appropriate official. Refusal or failure to do so may be considered a violation of university policy. 

For security purposes, everyone must use their own ID to swipe into secured buildings, particularly residence halls year-round and the Garrett Sports Complex during breaks. This is essential for all buildings in the event of a campus lockdown. 

The ID card functions as: 

  • A library card 
  • A dining plan card 
  • A method of payment for on-campus retail dining purchases (e.g., Flex, SU dollars) 
  • A pass for university-sponsored events and transportation services 

ID cards are valid for the duration of enrollment or employment and expire upon withdrawal, graduation, or termination. 

Lost, Stolen, or Damaged ID Cards 

Cardholders are responsible for maintaining their ID cards in usable condition. 

  • Lost or stolen ID cards must be reported immediately to Campus Safety.  
  • Damaged or malfunctioning ID cards should be brought to the Campus Safety Office for evaluation and replacement. 

A replacement fee applies to lost, stolen, or altered cards. This fee may be waived if the card shows normal wear and tear, was accidentally damaged, or if a theft report is filed with Campus Safety or official law enforcement. It is waived for changes to preferred name and/or legal name that are submitted to Registrar by students and to Human Resources by employees. 

Misuse of ID Cards 

Misuse of an ID card is strictly prohibited. This includes: 

  • Lending the card to others 
  • Altering or tampering with the card 
  • Using the card for unauthorized or fraudulent purposes 

Violations may result in disciplinary action, including suspension of privileges associated with the card. 

Return of Employee IDs 

Upon separation or by request, university employees must return their ID to their department head or the Campus Safety Office. 

Privacy and Data Security 

Susquehanna University is committed to safeguarding the personal information associated with the ID card. Data collected through ID card use is limited to university-related purposes, complies with applicable privacy laws and university policies, and is accessible only to authorized personnel.
